Yes, you are able to hire the Racecourse for a daytime event. We have a range of rooms and facilities available for hire. Are there conference facilities available at Exeter Racecourse? Yes, we have 19 meeting and event rooms here at Exeter Racecourse. Can private guided tours of the Racecourse be arranged? This is something that can be discussed & arranged on a client by client basis. Can I hire Exeter Racecourse for an event for only a couple of hours? You are able to hire the Racecourse for a couple of hours - however the cost will still be charged at full day room hire. Can we hold a wedding ceremony at Exeter Racecourse? Yes, you are able to hold a wedding ceremony here at Exeter Racecourse. We have also been approved for civil ceremonies in our beautiful Haldon Stand. What do the venue fees include? Exclusive use of the venue on your chosen evening for the full hire period. The full operational support from our Events Team in the run-up to your event and one of our Event Managers to co-ordinate and deliver your event on the day. Security staff and cleaning Does Exeter Racecourse ever offer a discount on the venue hire fees? Depending on the type of event and availability this can be discussed when requesting further details. What is the booking procedure? Provisional dates can be held without commitment. The length of time that dates can be provisionally held depends on the popularity of the date. Clients will always be given notice and an opportunity to confirm before a provisionally held date is released from them. Once clients have notified us that they would like to book an event confirmation of an event requires a signed copy of the contract which is issued alongside our terms and conditions. The confirmation of all bookings is subject to the payment of 50% of the hire fee by the hirer within 30 days of receipt of the invoice. The balance invoice is issued the day after the event. What is your cancellation policy for confirmed events? If the event is cancelled within 14 days of the event the full hire fee will be required. Can we bring in our own caterer or production company? No, we are unable to let clients bring in their own caterers. We have our own dedicated catering company on site – Jockey Club Catering – who are able to supply a whole range of options to suit all requirements. We do allow clients to bring their own production company. Can you offer a food and drink package along with venue hire? Yes – we offer packages to include food & drink as well as room hire. Call our events team for more information. Can we provide our own alcohol? No, we do not allow clients to bring their own alcohol on site. Can we use our own photographer, musician or entertainment? Yes, we will allow clients to bring in their own photographer, musician or entertainment. Can we deliver or set up the day before an event? If the venue is not in use the day before your event then we do not charge for set-up prior to your event. However if this is not the case then access can be granted after 5pm for a rate of £50(+VAT) per hour. Can we arrange to leave items in the venue overnight? As long as we know in advance we are able to store items overnight. Please note all items left on site are at the owner's risk and the racecourse will not be held responsible for any loss or damage of property. Can we use our own electrical equipment in the venue? Yes, however all items will be need to be PAT tested in advance of arrival. Is dancing allowed at the venue? Yes - We are able to supply entertainment for you or you can arrange your own. Can we smoke inside the venue? No – smoking is only permitted outside the venue. Is there any parking at Exeter Racecourse? We have over 1,000 parking spaces on site, all of which is complimentary to all guests. Is there disabled access at Exeter Racecourse? Step free access is available at the main entrance to the racecourse which can be reached via the main car park where the parking spaces are available. Do you have an outside space that we can use? Yes we have a range of outdoor space – our events team can help with any further requirements. Can we hire a space for a photo shoot or filming? Yes, this is not a problem – please call the events team to discuss your requirements further. How late can events run and can they be extended?
